If your university has a MAXQDA campus licence, it costs you nothing. So the honest question is not which tool is cheaper — it is whether a different workflow is worth changing to when the incumbent is free.
This is a comparison written by someone who builds one of the two tools, so read it with that in mind. It is meant to be accurate rather than flattering, and it will tell you plainly when you should stay where you are.
The two are not the same kind of thing
MAXQDA, NVivo and ATLAS.ti are workbenches. They give you a place to hold your material and a very large set of instruments — memos, code systems, retrieval, matrices, visualisations, team coordination. They do not do the coding. You do, and the software is there to make doing it manageable.
Themera is a pipeline. Material goes in, a codebook and a coded dataset come out, and you edit and re-run. It does far less than a workbench, and it does one thing the workbenches make you do by hand.
That difference explains almost every practical distinction below.
Where a workbench is genuinely better
Not a courtesy paragraph. These are real:
- Long-running and team projects. Shared code systems, multiple coders, negotiated agreement, project files that live for years. Themera has none of that.
- Memoing. Analytic memos attached to codes and segments, developed over months, are central to grounded theory and well supported in MAXQDA. We do not do memos at all.
- Mixed methods. Joining qualitative codes to quantitative variables, crosstabs by demographic. That is MAXQDA's home ground.
- Visual work. Code maps, matrices, document comparisons.
- Methods your supervisor named specifically. If you were told to use MAXQDA, use MAXQDA. This is not a fight worth having in month two of a thesis.
Where the pipeline wins
The first pass. Working through four hundred segments applying a fixed codebook is days of mechanical work in any workbench. That is the part we do in minutes, with a verbatim extract attached to every assignment so you can check each one.
Changing your mind cheaply. In a manual workflow, revising a code definition after coding everything means recoding everything, so people avoid it — and the codebook quietly freezes too early. When re-running is a button, revising stays available, and the codebook keeps improving.
Knowing what you missed. Coverage — how many units got no code at all — is reported by default. In manual coding, uncoded material is simply invisible.
Getting started. MAXQDA has a genuinely steep learning curve, and a fortnight spent learning it is a fortnight not spent analysing. If you will use it for years that is a good investment. For one thesis it often is not.
The honest recommendation
Stay with MAXQDA or NVivo if:
- your supervisor or department expects it
- you are working in a team, or the project spans years
- memoing is central to your method
- you are doing mixed methods with quantitative joins
- you already know it well — familiarity is worth a lot
A pipeline is likely to suit you if:
- one project, one deadline, working alone
- hundreds of open-ended survey answers rather than long interviews
- no campus licence and the sticker price is real money
- the coding is the bottleneck, not the organising
- you want EU processing with a DPA without a procurement process
You can also use both
This is the combination most people do not consider, and it is often the best one: generate the first codebook and coded pass in a pipeline, export the CSV, and continue in MAXQDA for memoing, visualisation and writing.
You skip the mechanical days and keep the workbench for what it is genuinely good at. Nothing about that is methodologically improper as long as you describe it accurately in your methods section — and if you verify a sample independently, it is better documented than most fully manual coding ever is.
On price, since it comes up
MAXQDA academic licences run to a few hundred euros a year; ATLAS.ti student licences are considerably less. If you have a campus licence, both are free to you. We are not going to win a price argument against free, and we are not going to pretend otherwise.
The argument is time. A campus licence costs nothing and still costs you three weeks of coding. Whether those three weeks are worth a one-off fee is a calculation only you can do, and it depends entirely on how close your deadline is.
